How to Resize a Photo for Online Application Forms

By Admin Editor · October 13, 2026

Online forms for visas, exams, job portals and ID cards are picky: "JPG only, 600×600 pixels, under 100 KB". A photo straight from your phone is usually 4000 pixels wide and 3–5 MB, so it gets rejected. Three quick steps fix it.

Read the requirements first

Every form states some of these:

  • Shape (aspect ratio): square (1:1) or portrait such as 35×45 mm.
  • Dimensions in pixels: e.g. 600×600 or 413×531.
  • File size: a maximum (and sometimes a minimum) in KB.
  • Format: usually JPG.
  • Background and pose: plain light background, face centred, no glasses.

Do the steps below in this order: crop, then resize, then compress.

Step 1: Crop to the right shape

  1. Open the free Crop Image tool and upload your photo.
  2. Pick 1:1 — Square for square photos, or Free and drag to a portrait shape for passport-style photos.
  3. Keep the face centred with some space above the head, then download.

Step 2: Resize to the exact pixels

  1. Open the Image Resizer and upload the cropped photo.
  2. Enter the required Width (px). With Maintain aspect ratio on, the height follows automatically.
  3. If both width and height are fixed, crop to the matching ratio in step 1 so the photo isn't stretched.

Step 3: Get under the KB limit

  1. Open the Image Compressor and upload the resized photo.
  2. Start around 80% quality and click Compress. Lower the quality step by step until the file is under the limit.
  3. Check the face still looks sharp before you upload it to the form.

A 600×600 JPG usually lands between 40 and 120 KB at 70–85% quality. If you need to go much smaller, reduce the pixel size first — it saves far more than lowering quality.

Converting the format

If your phone saved an HEIC or PNG file, convert it first with HEIC to JPG or PNG to JPG.

Privacy

All of these tools run in your browser — your ID photo is never uploaded to our server. To remove GPS location and camera details from the file, run it through the EXIF Remover too.

FAQ

My photo is too small in KB — what now? Some forms set a minimum. Raise the quality or use slightly larger pixel dimensions.

What DPI should I use? For online forms, DPI doesn't matter; only the pixel dimensions and file size do.
