How to Create a Professional Invoice: What to Include

By Admin Editor · September 22, 2026

A clear invoice gets you paid faster. A vague one gets questions, delays and awkward follow-up emails. Whether you're a freelancer sending your first invoice or a small business tidying up your process, here's what to include.

The essentials

Every invoice should show:

  1. The word "Invoice", so it can't be mistaken for anything else.
  2. A unique invoice number. Sequential numbers (INV-001, INV-002) are easiest to track.
  3. Issue date and due date.
  4. Your details: name or business name, address, email, and any tax or registration number required where you live.
  5. Your client's details: name and address.
  6. A description of each item with quantity, unit price and line total.
  7. Subtotal, tax and total due, with the currency clearly shown.
  8. Payment instructions: bank details or the payment link, and accepted methods.

Write descriptions people understand

"Design work" invites questions. "Homepage redesign — 12 hours at $60" doesn't. Specific descriptions, quantities and rates make an invoice easy for a client to approve and for an accountant to file.

Set clear payment terms

State when payment is due ("Due within 14 days") and what happens if it's late, if you charge a late fee. Shorter terms usually mean faster payment; 7 to 30 days is common.

Tax and discounts

If you charge VAT, GST or sales tax, show the rate and the amount separately from the subtotal. If you're offering a discount, show it as its own line so the client can see the saving. The VAT Calculator helps check the numbers.

Legal requirements vary

Some countries require specific wording, a tax ID, sequential numbering with no gaps, or particular formats for business-to-business invoices. This article is general guidance — check what your local rules require.

Create one in minutes

The free Invoice Generator lets you add your logo, line items, discount, tax and notes, and shows a live preview. When you're ready, choose "Save as PDF / Print" and pick "Save as PDF". Because the PDF comes from your browser's own print engine, accented and non-Latin characters display correctly. Nothing is uploaded or stored, so save your PDF before closing the page.

Common mistakes

  • Missing or duplicate invoice numbers.
  • No due date.
  • Forgetting to mention the currency.
  • Leaving out payment details, so the client has to ask.
  • Sending it to the wrong contact instead of the person who approves payments.

FAQ

Do I need a special program to make an invoice? No. Any tool that produces a clear PDF with the details above will do.

How long should I keep invoices? Tax authorities usually require several years of records — often between 5 and 10. Check your local rules.

Can I edit an invoice after sending it? Better to issue a corrected invoice or a credit note than to change a sent one, so the records stay consistent.
